Elevate Counseling + Wellness is seeking an organized, empathetic, and detail-oriented Intake and Insurance Coordinator to serve as the first point of contact for prospective clients. This role ensures a seamless and welcoming intake experience by providing information about services, assessing client needs, and coordinating appointments. Additionally, the role involves verifying insurance coverage and maintaining accurate records to support smooth practice operations.

Key Functions:

  • Serve as the primary point of contact for potential clients, responding promptly to phone calls, emails, and online inquiries.
  • Conduct needs assessments to determine the suitability of counseling services and ensure the best match for clients.
  • Clearly explain the intake process, practice policies, and payment procedures to prospective clients.
  • Maintain a positive, professional, and empathetic approach in all client interactions.
  • Verify client's insurance benefits and coverage details, and obtain a quote for services via online portals and calls to insurance companies prior to the initial appointment date.
  • Assign new clients to the appropriate therapist based on clinical appropriateness, availability, client's preference, and insurance information.
  • Accurately document client information in the Electronic Health Record (EHR) system and internal tracking systems.
  • Provide timely communication to Elevate Therapists regarding client bookings.
  • Follow up with potential clients who have not responded to service inquiries.
  • Perform other administrative duties as assigned to support the practice.

Education and Experience:

  • Associate’s degree preferred, ideally in psychology, social work, healthcare, or a related field.
  • Experience in a healthcare setting preferred, particularly with insurance policies and benefit verification.
  • Previous experience in a customer service or client-facing role is highly preferred.

Required Skills/Abilities:

  • Exceptional customer service and communication skills (verbal and written).
  • Strong multitasking and organizational skills, with the ability to prioritize and manage multiple inquiries simultaneously.
  • Effective problem-solving and decision-making skills.
  • Comfort working with remote communication tools and technology.
  • Proficiency in navigating computer systems, managing multiple software tools, and working with EHR systems.
  • Ability to work independently, with a proactive and solution-focused approach.
